Printing with a Workstation in the eth domain

Devices registered in a Windows domain

Here you will find documentation for managed workspaces, which technically means that these devices are registered in the Windows domain of ETHZ.

If you understand what the term domain means, then your computer is registered with the Windows domain controller d.ethz.ch. In such a case, the installation is particularly easy and similar to the process for a device at home. You can carry it out yourself. The installation is identical to the process for personal devices, but the username and password are not requested, as this data is already available after logging into the domain controller.

Exception:

If you are working locally on a computer that is registered with the Windows domain and would like to use a printer, the following procedure is recommended.

On a Windows device, after clicking Start and selecting the command prompt (or the search field), you should only enter the print server without name extension (e.g. \\pia01 (or \\pia02, see also the detailed notes on the personal devices).
When the list appears, enter the personal details (nethz name, without a d\ at the beginning, and the password) and do not forget to tick the checkbox to save the data locally.
Then click the printer queue as usual and wait until the installation of the printer driver has finished.

This explanation also applies to the ethz card printers. In the buildings at Hönggerberg, it should be noted that the queue has been configured on \\pia01.

 Printing with a personal device

Personal devices means that you user have adminstrator or root permissions on the system.

In the printer configuration, you have to store your NETHZ name and NETHZ password on the computer.

 Printing with Webprint

The following web address can be used to upload PDF files and then print them out on all printers. piaweb01.ethz.ch

Please note that the Webprint Portal can only be reached via the ETH Zurich intranet. If access is needed outside of the ETH network, the VPN service must be used.

You can log in to the Webprint Portal using your nethz account

You will find here an example of how to upload and print a file via webprint: Webprint example

FAQ

 FAQ
What does the ETH Print Service offer?

The ETH Print Service offers its customers the possibility to print, copy and scan on all devices in colour or black/white and up to format A3.

What does the ETH Print Service include?

Advice on the evaluation of multifunction devices and printers

• The print and copy costs cover the following services, among others:

  • Automatic renewal of toner
  • Delivery of staples and waste toner boxes
  • Paper (only includes paper that was ordered via the ETHIS-Weshop using the product group "Printer paper printservice")
  • Device repairs
  • Device maintenance
  • Cost lists based on person generating the costs
  • Central print server
Who is this service intended for?

All persons that have a nethz username and nethz password can use this service.

How can I use the service?

When configuring the printer, you need to log in using your nethz data.

Which print server must I use?

If you are in the central building, you will need to use pia01.ethz.ch or pia01.d.ethz.ch
If you are on the Höngg campus, you will need to use pia02.ethz.ch or pia02.d.ethz.ch

How do I find the right printer?

The printer name is made up of the letter "P" – building abbreviation – floor abbreviation – room number. For example: p-wec-e-23
If the room contains multiple devices, an additional appendix may be attached, such as "-a".

What is a pull printing queue?

A pull printing queue, also called a follow-me queue (card-ethz) is a virtual printer and is only set up on the pia01 server.
The print jobs are not printed directly on a printer, but first go into a queue to a print server.
The ETH card can then be used to trigger print jobs throughout at ETH on all multifunction devices.

How long will my print jobs remain in the pull printing queue?

The print jobs are held in and can be retrieved from the pull printing queue for a period of 24 hours, after which they are deleted.

 How can I order toner?

PiA: The PiA devices automatically forward information on the toner levels, which means toner orders are triggered automatically.
The toner is sent to the mailroom related to the delivery address provided.
Important:The device managers must ensure that the ITS Printing Group always has up-to-date delivery addresses. If the device manager, location or delivery address changes, this must be reported to the Service Desk using a ticket.

How can I ensure there is always enough toner available?

When the toner level is low, new toner will be ordered automatically and a confirmation mail is sent to the device manager. The toner will be sent by our supplier to the current address for consumables by post. The delivery time is approx. one week. In order to ensure there is always a sufficient quantity of consumables, we recommend keeping some reserves onsite. The device manager can order some reserve toner here: "Order reserve toner (for device manager)"

What must I do if the delivery address for toner changes?

Please complete the attached e-mail "Change of toner delivery address" with all details and send it to servicedesk@id.ethz.ch.

What can I do with empty toner cartridges?

The empty cartridges can be returned to the Office Material department, where they can be disposed of centrally. You can put it in the outgoing mailbox of your building with the comment "Empty toner cartridge– Office Material". The mailroom employees will then know what to do and will take the empty items with them.

How do I order the paper?

At the moment the paper can only be ordered manually.
Please fill in the attached e-mail
Printer Paper Order - Print Service with all details and send it to bueromaterial@fc.ethz.ch.

 Which slides can be used?

We only use BG-72 slides from Folex, which are also recommended by the printer supplier. They can be ordered via the Office Material Shop here

How do I request a printer or multi-function device (MFD)?

Please complete the order form for printers/MFDs and send it to servicedesk@id.ethz.ch.

What must I do if the printer manager changes?

Please complete the attached e-mail "Change of device manager" with all details and send it to servicedesk@id.ethz.ch.

What must I do if the location of a printer/MFD needs to be changed?

Please complete the attached e-mail "Moving a printer/MFD" with all details and send it to servicedesk@id.ethz.ch.

What must I do if I want to have a printer/MFD removed?

Please complete the attached e-mail "Removing a printer/MFD" with all details and send it to servicedesk@id.ethz.ch.

Do you offer renting printer/MFD for a short time period?

We do offer printers and MFDs for renting for a short time period. More details can be found in the SLA. Service Level Agreement (PDF)

General Information

 Pricing

Pricing

In spring 2018, the Executive Board of ETH Zurich decided to end the billing of the ETH Print Service as of 2019 for ETH employees.
This does not apply to the rental of additional devices.

From 2019 the new Service Level Agreement (SLA) terms will apply: Service Level Agreement «Print Service for employees»

Due to the end of print service billing for ETH employees, adjustments were also in this context made to the SLA.

You will find the most important changes listed below:

  • All infrastructure devices must now have authenticated copying activated.
The affected devices must be adjusted on site by the printing team.
  • At locations where authenticated copying is still not preferred, an infrastructure device is now classed as an additional device and is therefore associated with a rental fee.
  • The device category WPM4 (monochrome desktop printer) will be removed from the portfolio.
As a desktop printer, only the device category WGC4 will be offered and new, only as an additional device.

We will continue to generate the print and copy reports as before and send them quarterly to the financial managers.

  • For user-based billing (authenticated printing and copying)
the total printing price for b/w simplex is 2 Rp., duplex 3 Rp. or color simplex 7 Rp. and duplex 13 Rp.
Printing and copying costs are charged to the customer's fund and cost center.
  • For device-based billing (for example, for legacy devices for devices where the authenticated printing or copying is deactivated and all devices that are not controlled via the central print server)
due to technical reasons, unfortunately the printing price can only be charged per page.
This means that b/w simplex costs 2 Rp., duplex 4 Rp. or color simplex 7 Rp. and duplex 14 Rp.
The printing and copying costs are charged to the printer's fund and cost center.

 Print Money Transfer

As the print services are charged for, and because the devices are located in the hallways for everyone to use, certain restrictions must be observed.

Scanning, on the other hand, is free of charge, and the scan to usb function is above all recommended.

If an employee wants to authorise a student to use a device at the employee's expense, they can transfer an amount internally to the student. They must however know the nethz name of the student.

The employee logs into the website www.print.ethz.ch, where they will find the menu item Transfers. Please make transfers in the region of CHF 10. We kindly ask you to ensure the amounts are appropriate and not over the top.

Software

We use PaperCut-MF as the billing and control software, the PaperCut-MF manual is available.

 Device drivers

Generally, we use postscript as the page description language and for job control. In justified cases, PCL version 6 may also be used.

A so-called push queue is configured for each device, which is designated as follows:

p-building abbreviation-floor-room number-room sub number-other designations (if required)

Example: p-cab-e-44

If the device also has an ETH card reader for triggering jobs (for confidential documents, etc.), there is also a pull queue with the name prefix card- , such as

card-ethz

For Windows users, we use universal printer drivers wherever possible (from Ricoh for the new fleet of devices); the computer communicates with the selected printer and queries its configuration and abilities actively.

Printer settings must therefore be set on your own device. The general settings and device settings (preferences) are of interest here.

  • Paper settings (standard is recycled paper),
  • banner page on/off,
  • grey scale(standard) or colour print.
PPD files

For Linux, we use PPD files (PostScript Printer Description), and the following are available for the new fleet models

Multi-function devices
Printers

Printer drivers for Mac OS X can be found on the Ricoh websites, such as for the device SP C3003 here, or under the name Nashuatec from Apple: http://support.apple.com/kb/DL1495. For the printer queue card-ethz we always use the driver for the device SP C3003.

Please note

  • For scanning, we recommend using the solution Scan-to-USB-Stick, the stick must be formatted with FAT or FAT32 (this is usually the case when buying a USB stick).
  • The job hold time for jobs triggered by card is currently 24 hours, which is a compromise between resource consumption and possible lack of time. Following this period of time the job will be deleted.
  • A logout will take place automatically after approx. 60 seconds. With the key on the right (third from above, key symbol), a logout can be completed manually.
  • A link between card authentication and your own e-mail address is currently not possible due to the different devices in use and the embedded character of the PaperCut software.

Errors

It is possible to fill the Nashuatec devices (Ricoh devices) with too much paper per tray. The sensor will then be triggered and the tray in questions produces an error message, such as SC 501-02. The following may help in such a case:
- Switch off the device
- remove all trays (not the sheets of paper) and remove a certain amount of paper from each tray
- switch device on
- wait for it to boot completely
- then reinsert all trays
The corresponding tray will now be displayed and the error message is gone. If the error proves more difficult to resolve, please contact the Service Desk.

 Restrictions

This service works with the SMB authentication protocol from Windows, which means the username of every user must be available in the Identity Management System of ITS, and the users must also have the correct password.

This is obviously the case for students, employees and long-term guests of the university, but there are nevertheless restrictions, which are of a technical nature that have been agreed on by the executive management of ITS.

  • Daily guests, which can be created by any employee, cannot use the devices.
  • Guest cards, which are often used as building keys, are entered in the Identity Management System as pseudo persons, which means they are also unable to make use of the print service.

Service description

Description

The Print Service has replaced the old VPP devices (printer and multifunctional devices) and introduced new services like usage management and secure and mobile printing.

The Print Service offers the possibility to use services such as printing, copying and scanning.

Customer Benefits

Aside from relieving the user from having to manage the technical infrastructure the decentralised print service also leads to a reduction in technical complexity as standard equipment is used. It has the following advantages:

  1. Reduction of waste due to testing
  2. Economies of scale due to large supply orders
  3. Ease of use as all devices follow the same process (order, dispatch)
  4. Pull printing is an easier alterative to other Print Service devices.

In addition to the basic package (infrastructure equipment), the customer has the option to rent additional equipment.

Customer Groups / Cost / Order

This service is available to all ETH members. The user must be authenticated.

Different conditions apply to the different customer groups (ETH-internal, ETH-related organisations) with regard to printing costs and rental prices for equipment. These are listed in detail in the relevant SLA guidelines.

To order them, contact your ISG, which then coordinates with IT Services.
