Leaflet "Events without event technician"
Equipment and support
For events without an event technician, you operate the required technology (microphones, presentations, etc.) yourself. Find out about the technical equipment of the booked rooms via room information. For a brief introduction, questions or problems with the lecture hall technology, please contact the lecture hall support teams MMT Zentrum or Hönggerberg (for contacts, see right).
Please note that staff present for recording or live streaming (director/camera) cannot provide support regarding event technology (e.g. microphones and presentations). For technical support during an event, we recommend an event technician: Event technologies support (overview).
Presentations (best practice)
- Use one laptop for all presentations.
- Switch off energy-saving functions and screen savers and operate the laptop on power supply.
- Close applications that you don't need during the presentation (Mail, Teams, Zoom, browsers, etc.).
- Activate the "do not disturb" mode.
- Provide your presentations in 16:9 (1920x1080), which harmonises with projection equipment and standard video formats. Information on how to convert other formats can be found at the end of this page.
- Combine all your presentations in a master presentation and use the ETH Zurich PowerPoint template if applicable.
- Check whether embedded videos run smoothly. For longer videos, separate playback outside the presentation is recommended.
- Only use digital pointers (without lasers) that can also be seen in recording and streaming. Pointers with lasers (apart from class 1 devices) are prohibited in Switzerland.
Recording and live streaming
Includes 1-2 people on site (camera/direction), post-production and upload to the video portal or provisioning for other publication locations. For live streaming, we additionally recommend an event technician: Event technologies support (overview).
- Please always use a microphone; repeat questions from the audience that have been asked without a microphone.
- Please switch off mobile phones completely.
- If an event is recorded and/or streamed, we require signed agreements from all presenters.
- You can find the necessary forms here. We will be happy to advise you on the correct option for your event.
- In addition to the individual agreements, please also send us the completed agreements list if your event has more than two speakers
No live streaming can be conducted or recording published without complete agreements.
Miscellaneous
- You can convert older presentations in 4:3 as per description:
- PowerPoint (Windows): Menu „Design“, symbol „Slide Size“ and choose Widescreen (16:9).
- PowerPoint 2016 (OS X): Menu «File», «Page setup», «Slide sized for» «On-screen show (16:9)».
- Keynote (OS X): Press „Document“ in the upper right corner, «Slide Size» «Widescreen (16:9)».
- Please keep in mind that adapting existing presentations is likely to mix up text and images especially.
