Legally compliant retention for Exchange Online (EXO)

A 10-year retention period is active for all ETH members with an A5 license and a cloud mailbox from ETH IT Services, all emails are stored in the system for 10 years as soon as they arrive on the servers.

This data is not readily accessible. Only in connection with legal cases, following an official order, can administrators retrieve the data using special applications.


After migrating a mailbox to the cloud, all data archived up to that point remains accessible to employees in the mail archive for 10 years.


Mail archive for Echange on Prem

Since  July 21, 2025, the archiving process of MailArchive is discontinued.

The mailarchive will still be accessible to users as  but no new item will be added to the archives .

Mail archiving applies to  ETH on-prem mailboxes provided by ETH IT Services.

After the migration of the mailbox to the cloud, all data archived up to that point will remain accessible to employees in the mail archive for 10 years.

The export of archived emails is only possible in cases related to legal proceedings. In all other cases (e.g.: user deleted, need for old emails,...) no export is carried out.
